Personal Data Processing Policy

This Personal Data Processing Policy describes the user data DevInTouch processes when you use devintouch.com, enquiry forms, the project quiz, email communications and the @devInTouchBot Telegram bot.

1. Data controller

The DevInTouch website administration is the personal data controller.

2. Data we may process

We only process data needed to contact the user, prepare a proposal and support the project.

Through forms, the quiz and callback requests, the user may provide:

name;
phone number and country code;
email address or Telegram username;
website address, if provided;
enquiry comments;
the selected service or task;
the project’s current status;
an indicative budget and timeline;
the page from which the enquiry was submitted.

The website may also receive technical information:

IP address;
date and time of the enquiry;
browser user agent;
technical request data;
the selected interface language;
data needed to protect the form against spam.

If a user contacts the Telegram bot, we may see data Telegram passes to the bot or the user sends directly: Telegram ID, username, profile name, message text and attachments.

3. Purposes of processing

We use data for the following purposes:

handling enquiries from the website, quiz and callback form;
contacting the user by phone, email or Telegram;
preparing a consultation, commercial proposal or work plan;
technical support and project maintenance;
configuring enquiry notifications for the DevInTouch team;
protecting the website and forms against spam, abuse and technical errors;
maintaining an internal enquiry history;
meeting legal requirements, where applicable.

We do not sell users’ personal data to third parties.

4. Legal grounds for processing

Data is processed on the following grounds:

the user’s consent expressed when submitting a form, quiz or message to the Telegram bot;
the need to prepare a response to the user’s enquiry;
the need to enter into or perform a contract if the user proceeds to order services;
the controller’s legitimate interest in website security, spam prevention and recording enquiries;
legal requirements, where applicable.

5. How enquiries are forwarded

After a form or quiz is submitted, the enquiry may be forwarded:

to the DevInTouch business email address;
to the team’s private Telegram chat through @devInTouchBot.

Telegram is used for notifications and communication. Telegram’s own terms and privacy policy also apply when Telegram is used.

6. Who may have access to data

Data may be accessed by:

DevInTouch employees and contractors who need it to handle the enquiry or perform the work;
technical providers of hosting, email, domain, infrastructure and notification services;
Telegram, if the user uses the bot or the enquiry is forwarded to the team’s Telegram chat;
public authorities where disclosure is required by law.

Data transfers are limited to the necessary scope.

7. Retention periods

Enquiries and correspondence are retained for as long as needed to handle the enquiry, prepare a proposal, support the project and meet obligations.

Indicative retention periods:

prospective customers’ enquiries and contact details: up to 3 years after the last contact, unless the user requests earlier deletion;
customer project data: for the duration of the contract and the necessary period after it ends;
technical logs: for the period needed for security, diagnostics and protection against abuse.

When data is no longer needed, it is deleted or anonymised unless the law requires otherwise.

8. User rights

The user may contact us to:

find out what data about them is processed;
correct or update data;
withdraw consent to processing;
request deletion where there are no lawful grounds for continued retention;
restrict or object to processing in cases provided for by applicable law;
obtain a response to questions about data processing.

To contact us, email admin@devintouch.com or message @devInTouchBot. We may request additional information to confirm that the request comes from the user or their representative.

9. Data security

We apply reasonable organisational and technical safeguards:

restricting access to enquiries;
not publishing users’ contact details openly;
not embedding SMTP or Telegram bot secrets in the website frontend;
sending notifications on the server side;
applying basic form spam protection;
keeping the website closed to indexing before launch.

No method of internet data transmission is completely secure, but we work to reduce the risk of unauthorised access.

The website may use cookies, localStorage and sessionStorage for interface functions, introduction state, storing enquiry details for the thank-you page and protection against errors.

The website uses Google Tag Manager. Its container is configured with Google Analytics 4, Yandex Metrica and Meta Pixel for analytics and advertising measurement. Actual tag behaviour depends on the container and browser settings. The website’s own form events contain technical fields such as form type, language, page path and selected workflow options; they do not include submitted contact details or enquiry text.

11. Cross-border transfers

Some technical services may be located outside the user’s country. For example, Telegram, email infrastructure, hosting or analytics services, once connected, may process data in other jurisdictions.

By using the website, forms or Telegram bot, the user understands that such technical transfers may be necessary to handle the enquiry and communicate.

12. Changes to the policy

We may update this policy when the website, forms, Telegram bot, communication channels, analytics, legislation or data processing procedures change.
